Description

Reporting to the Director of Operations, you will take responsibility for Fortune Cookie's recruitment, inductions, training, employee welfare, employee development, HR policy and employee management procedures.

You will run our office to world-class standards and be responsible for Fortune Cookie's office facilities, office maintenance, purchasing, office processes and health & safety standards.

You will work closely with a varied and highly-talented team of professionals, always committed to creating innovate, efficient processes to provide business benefits and boost employee satisfaction.


Tasks

As Human Resources Manager

  • Recruitment:

    Owning and efficiently managing all Fortune Cookie's recruitment processes, including maintaining job descriptions, placing adverts, liaising with agencies and candidates, facilitating interviews and feedback, attending first interviews, completing contracts, validating work permits or visas, following-up references and managing employment offers or rejections. Carry out exit interviews, identifying trends and reporting these to the relevant Head of Department
  • Inductions:

    Managing the induction process of new employees. Including running effective general inductions, facilitating departmental inductions and managing the probationary period process
  • Records:

    Maintaining accurate sick leave and paid leave records. Providing guidance to Heads of Department and employees on leave and absence policies. Running effective leave and absence management and monitoring processes. Ensuring all employee personnel records are kept up-to-date and are securely and logically filed
  • Payroll:

    Liaising with the Financial Controller to advise of payroll updates including joiners, leavers, contract or salary changes, benefits, maternity/paternity pay and other adjustments
  • Training:

    Facilitating and booking all training activities according to departmental training plans. Co-ordinating internal training programmes. Maintaining up-to-date employee training records. Reporting on training time and spend against department plans and company budgets
  • Employee Welfare:

    Leading first-rate employee relations and communications and supporting managers in improving employee satisfaction and reducing stress in the workplace. Providing counsel, where appropriate, to employees on options available in the resolution of problems. Promoting and administrating Fortune Cookie's benefits schemes such as Childcare Vouchers and Ride to Work
  • Employee Development:

    Taking responsibility for the timely and efficient execution of Fortune Cookie's 360-degree appraisals process. Maintaining company role structure, role grades and competency frameworks. Supporting Heads of Department in career development processes and role change management. Ensuring all HR processes support the Investors in People standard
  • Policy:

    Give well-timed, professional advice to Heads of Department in the interpretation and application of employment legislation, terms and conditions, equal opportunity, diversity and other HR-related policies and procedures. Coach, inform and promote good practice to Fortune Cookie managers
  • Management procedures:

    Supporting and advising Heads of Department in disciplinary, grievance, capability, harassment and other such procedures. Assist managers in the preparation and carrying-out of procedures. Ensure that all actions and decisions reached are in line with good practice, regulations and law
  • Contractors:

    Overseeing the selection and placement of contractors according to the requirements of the Heads of Department. Holding screening interviews, administering contracts and agency engagements, running inductions, reconciling charges and maintaining contractor evaluation records. Maintaining a roster of approved contractors based on this evaluation
  • Resource Management Support:

    Supporting the Head of Project Management in the efficient management and control of Fortune Cookie's resource schedule. Reporting on resource utilisation statistics and trends including time spent on billable activities, sales, training, leave and sickness. Working with the Heads of Department to pro-actively manage recruitment to fulfil the company's needs

As Office Manager

  • Purchasing:

    Fulfilling the office's purchasing requirements and negotiating with suppliers to ensure value-for-money procurement. Maintaining a preferred suppliers list and holding those suppliers to agreed service level agreements
  • Maintenance:

    Arranging and overseeing office repairs and maintenance works. Working alongside our IT & Application Services Manager in monitoring the performance of all office equipment to ensure a continuous high standard of facilities for our employees with adequate failover provisions in place
  • Office Standards:

    Working closely with our Receptionist to ensure that the office is run smoothly and efficiently to a world-class standard and that its facilities are fully secure and accessible
  • Office Processes:

    Taking ownership of Fortune Cookie's office management process as part of our ISO 9001:2000 certified process. Taking the role of QMS configuration librarian and internal auditor of QMS procedures. Owning and maintaining Fortune Cookie's employee handbook
  • Health and Safety:

    Setting and maintaining standards in Health and Safety. Ensuring that this policy is communicated, understood and carried out by all employees. Ensuring trained employee first aid and fire safety representatives are continually available

Experience

  • A minimum of two years experience in a similar role (essential)
  • You must have a good working knowledge of current employment law (essential)
  • Experience of negotiating with suppliers (essential)
  • Experience of creating policy documents and procedures (essential)
  • Excellent Microsoft Office skills (essential)
  • CIPD Qualification or equivalent (desirable)
